How to Respond to a Fake 1-Star Review (HVAC Company)

The review accuses you of wrecking a compressor, but you have no record of the person or the job. Knowing how to respond to a fake 1-star review at your HVAC company matters because everyone reading the thread will form an opinion of you from how you answer. Stay calm, stay factual, and let the reply do the work.

The review

"These guys destroyed my compressor and then refused to pay for it. Total scam company. Stay far away." — 1 star

Copy-paste template

I'm sorry to see this, [Name], and I'd like to look into it properly. I searched our records for a compressor job under your name and couldn't find one, so I may be missing something. Could you call me with the date or address of the service, or let me help work out whether it was another local company? This is Carl, the owner — (555) 123-4567.

Why this works for a fake review

  • It never says "fake." Accusing a reviewer of lying looks hostile to readers, even when you are right. Saying you can't find the job lets the facts speak.
  • It checks the records first. HVAC shops keep work orders, invoices and customer files. A reply that says you looked proves the claim doesn't match any real job, in a quiet way.
  • It leaves a door open. Inviting a call with a date or address handles the case where the customer is real and you have missed something.
  • You can flag it separately. Reviews that don't reflect a real experience can be reported through your Google Business Profile. Google decides what happens, so removal is never guaranteed, and the reply should stand either way.

What not to do

  • Don't call the reviewer a liar or a competitor. You can't prove it, and it makes you look like the aggressor.
  • Don't threaten legal action in the thread. It reads as intimidation and invites the story to grow.
  • Don't share anyone's records. Even if you do find a similar customer, keep names, addresses and amounts out of a public reply.
