How to Respond to a Salon Cancellation Fee Review

This is an illustrative review scenario, not an actual customer review. Adapt the reply to the facts of your situation and replace the example names and phone numbers before posting.

A late-cancellation charge can feel unfair even when the salon needs a policy to protect reserved chair time. The public reply should not become a countdown of how many minutes the client missed the cutoff by. Start with whether the policy, notice, and booking process were clear.

The review

Had to cancel my color appointment the evening before because childcare fell through. A cancellation fee appeared on my card, but I don't remember agreeing to that amount when I booked by phone. The desk just said it's the policy. — 1 star

Copy-paste template

A cancellation charge should not come as a surprise, including when an appointment was booked by phone. I understand why the answer at the desk did not address your question about the notice. I'd like to review what was explained at booking and how the cancellation was recorded. Please call (555) 123-4567 and ask for Lena, the manager, so we can discuss this privately.

Why this works

  • It addresses consent and notice. The client is questioning what they agreed to, not denying that chair time matters. The reply starts with that question.
  • It checks the actual booking channel. A policy on an online checkout may not describe a phone booking. The manager reviews how this appointment was made.
  • It avoids a public exception promise. The response opens a review without announcing that a personal circumstance will always qualify for a removed fee.

What not to do

  • Don't itemize the client's cancellation time online. Booking details are private and a clock-based rebuttal looks punitive.
  • Don't question the childcare explanation. You can review a policy without challenging someone's personal circumstances.
  • Don't offer to remove the charge for an edited review. Review changes must not become a condition of resolving a booking concern.

Frequently asked questions

Should I quote our cancellation policy in the public response?

Offer to review the policy and booking notice directly. A public excerpt rarely answers whether this customer received a clear explanation.

What if the client definitely accepted the fee online?

Review the record privately and explain it calmly. Avoid posting screenshots or confirmation details to win the public exchange.

Should I promise an exception for emergencies?

Do not make a blanket promise in Google replies. Discuss individual circumstances and any resolution privately under your actual policy.
