How to Respond to a 1-Star Review About Pricing / Feeling Overcharged (HVAC Company)
You just got the review every HVAC owner dreads: a customer who thinks you overcharged them, telling the whole internet to get multiple quotes before calling you. Your response isn't for them — it's for the next hundred homeowners deciding who to call. Here's exactly what to post.
The review
"Charged me $485 to replace a capacitor — a $40 part and 20 minutes of work. Feel completely ripped off. Do yourself a favor and get three quotes before these guys step foot in your house." — 1 star
Copy-paste template
You're right to expect the price before the work starts, and I'm sorry we didn't make that clear — that's on us. Our diagnostic fee plus the part and labor should have been quoted to you upfront. I'd like to look at your invoice personally and make sure it was right. This is Mike, the owner — call me direct at (555) 123-4567 and we'll sort it out.
Why this works
- It names the real complaint. The customer isn't really angry about $485 — they're angry they didn't know it was $485 beforehand. The reply addresses the surprise, not the number.
- It owns the process, not the price. You don't concede you overcharged (you probably didn't). You concede the quote should have come first — which is true, and it's the industry trust point for HVAC.
- The owner signs it. "This is Mike, the owner" carries ten times the weight of a dispatcher login. Future readers see accountability.
- It goes offline in one step. Name plus direct number. No back-and-forth in public, no invitation for a second angry paragraph.
What not to do
- Don't justify the price in public. "Capacitors cost us $120 wholesale and our techs train for years" reads as arguing, even when it's true.
- Don't offer a refund in the reply. It trains every future reader to complain for a discount. Handle money privately.
- Don't ignore it. An unanswered pricing complaint confirms it for every homeowner who reads it.
