How to Respond to an HVAC Replacement Recommendation Review
This is an illustrative review scenario, not an actual customer review. Adapt the reply to the facts of your situation and replace the example names and phone numbers before posting.
The homeowner expected a repair option and heard 'replace the whole system.' If a second company offered something smaller, the first recommendation can look like a sales pitch. An HVAC owner should answer that trust concern by offering to review the findings and choices, not by attacking the other technician.
The review
Called about an AC that wasn't keeping up. Your tech said the whole system needed replacing and started talking financing. Another company offered a repair instead. I never got a written explanation of why replacement was the only option. Felt pushed into a sale. — 1 star

A replacement recommendation should come with a clear explanation and room for you to consider your options. I'm sorry the conversation felt like pressure rather than help. I'd like to review the assessment and what alternatives were discussed with you, including the written findings. Please call me at (555) 123-4567 so we can talk through that privately. I'm Victor, the owner.
Why this works
- It separates recommendation from pressure. The shop can take the sales experience seriously without declaring the equipment repairable or condemning the original assessment.
- It asks for the missing explanation. Written findings and alternatives are the evidence a homeowner needs before a large purchase. Financing is not a substitute for that explanation.
- It allows comparison. The reply leaves room to discuss another assessment without turning a public comment into a contest between contractors.
What not to do
- Don't say the second company is cutting corners. You have not reviewed their scope, and a contractor feud makes the homeowner's concern look justified.
- Don't diagnose remaining equipment life online. Age alone does not settle this specific repair-versus-replacement decision.
- Don't lead with financing again. The complaint is about informed choice. Another payment-plan pitch reinforces it.
Frequently asked questions
Should I defend our replacement recommendation in the reply?
Offer to review the reasoning privately instead. Publicly state that recommendations should be explained clearly, with room to discuss options and questions.
What if the second company's repair is only temporary?
Do not speculate about their work. Compare written scopes and findings in a direct conversation, then explain your own recommendation without disparaging another business.
Can I ask the customer to send the competing estimate?
Invite them to share it privately if they want to compare options. Do not ask them to post equipment records, estimates, or addresses in the review thread.
